Proclaim - Fundraising software for charities

Proclaim fundraising software for charities is Avant-Garde's flagship product developed in Microsoft Access and designed for a fundraiser. It is now used by over forty charities in the UK.

During May 2000 Proclaim Lite was launched. It offers a reduced feature set for the smaller charity while still enabling them to carry out the main functions expected of a fundraising data base.

Proclaim is a fully featured Windows based donor and contact administration system specifically designed for voluntary organisations. With over five years of Proclaim for DOS functionality brought into the product it is already a mature and sophisticated product designed for today’s fundraiser.

With prices starting from just £750, Proclaim is affordable even to the smallest of charities with a need for a contact and donor database.

Integration with Microsoft Office

The product benefits from all of the inherent Microsoft Access database features such as report and query wizards, database synchronisation, graphical interface and ease of use. This also means it has unrivalled integration with the whole of the Microsoft Office family of products facilitating tasks such as mail merging with Word or complex budget and cash flow forecasting with excel. Versions of Proclaim are available for both Microsoft Office 97 and 2000.

Reporting & Querying

Proclaim has been designed so that every field of information held within the database is accessible to the user for querying and reporting.

The data files held within Proclaim can be accessed and manipulated from many other packages making Proclaim the ideal organisation wide database to which other smaller databases can be integrated.

Information held

As well as maintaining details of the contacts and donors of a voluntary organisation it holds subsidiary information including details of the following;

Covenants, Memberships, Donations, Pledges, Mailings History, Donor Analysis, To Do list, Financial summary, Alumni details

With all this information a detailed profile of potential and existing donors can be easily maintained.

Look & Feel

By using modern tabs within the Proclaim main screen all of the information about a contact can be easily viewed with a single mouse click. The tabs, group related information making it easy for a user to find the information they need quickly and easily.

Standard Access controls are used throughout the package enabling the user to easily navigate between records, apply filters and sort. An additional search button has even been incorporated into the screen to enable the user to easily find the contact they require by numerous options.

Unlimited analysis

Apart from the standard information held in the database Proclaim has the ability to store any number of additional analysis codes for a contact. These codes have effective to and from dates attached to them so that they can also be used to record historical information.

A screen is also incorporated which allows the user to define their own fields that are unique to their organisation.

All of this information is available for reporting and querying by the user making database segmentation and mailing selections easier than ever.

Staff efficiency

Unlimited diary entries and tasks can be recorded against a contact. These can be stored to build up a full history of contact between them and you and have limitless text fields to hold details of the contact.

These entries can also be assigned to another Proclaim user with a target completion date. With this functionality the diary becomes a to-do list helping your organisation to ensure you will never miss that trust application date.

Statistics at a glance

The giving statistics for a contact can be displayed at the click of a button. As well as calculating the first, last, highest, lowest and average donations they even calculate the average period between donations over their history.

Other financial information held for the donor shows their income and giving profile along with a donation target that can be set by the user. All variances are reported automatically.

Donations can also be linked to a canvasser at your organisation meaning that Proclaim is ideally suited to either capital or direct mail campaigns.

Graphical trends

Windows being a graphical interface to the user readily lends itself to on screen graphing which Proclaim utilises to great extent. All the graphs within Proclaim also include a drill down feature below them which allows the user to drill down from year to month to individual donation.

The graphs included within Proclaim include financial history analysis, Pareto’s analysis and recency/frequency/value. With features like this you can analyse your database in many different variations.

Regular giving

Regular giving is an essential part of most charities income. Proclaim will hold details of pledges, membership subscriptions and covenants.

At any time these promises can be viewed on screen. With another click of a button the system will automatically calculate the expected payments and any variances to these.

Proclaim also includes a number of reporting and maintenance options for promises including covenant/membership renewals, aged debtor reports, tax claims etc.
